Scheduler / aDMINISTRATIVE ASSISTANT
Responsibilities
Serve as the first point of contact, welcoming visitors, answering phones, scheduling appointments, and providing information about the organization.
Manage scheduling duties, including adding new clients to the schedule, creating, adjusting, and updating staff and client schedules, and managing staff weekly worked hours in accordance with scheduling procedures.
Provide necessary information to insurances and funding agencies to maintain client registration.
Order and manage office supplies.
Assist therapists with daily administrative tasks and materials development.
Engage with professionals, students, and families visiting the agency.
Respond promptly and professionally to daily operational requirements.
Skills & Qualifications
Minimum Necessary Skills
Competent use of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and general office equipment (phone, copy/printer, laminator, etc.)
Strong communication skills
Punctuality
Professionalism
Personal Initiative
Preferred Skills
Knowledge of Applied Behavior Analysis (ABA)
Scheduling experience
Customer service experience
Other Qualifications
Must be at least 18 years of age.
Must have proof of U.S. citizenship or authorization to work.
High school diploma or equivalent required.
Ability to pass a Washington State background check, including fingerprinting if necessary.
Sound judgment and decision-making skills, with the ability to interpret and implement policies, procedures, and regulations appropriately.
Ability to exercise confidentiality and discretion.
Ability to work independently.
Experience and familiarity with web development and social media are preferred but not required for this position.
