Scheduler / aDMINISTRATIVE ASSISTANT


Responsibilities

  • Serve as the first point of contact, welcoming visitors, answering phones, scheduling appointments, and providing information about the organization.

  • Manage scheduling duties, including adding new clients to the schedule, creating, adjusting, and updating staff and client schedules, and managing staff weekly worked hours in accordance with scheduling procedures.

  • Provide necessary information to insurances and funding agencies to maintain client registration.

  • Order and manage office supplies.

  • Assist therapists with daily administrative tasks and materials development.

  • Engage with professionals, students, and families visiting the agency.

  • Respond promptly and professionally to daily operational requirements.


Skills & Qualifications

Minimum Necessary Skills

  • Competent use of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and general office equipment (phone, copy/printer, laminator, etc.)

  • Strong communication skills

  • Punctuality

  • Professionalism

  • Personal Initiative

Preferred Skills

  • Knowledge of Applied Behavior Analysis (ABA)

  • Scheduling experience

  • Customer service experience

Other Qualifications

  • Must be at least 18 years of age.

  • Must have proof of U.S. citizenship or authorization to work.

  • High school diploma or equivalent required.

  • Ability to pass a Washington State background check, including fingerprinting if necessary.

  • Sound judgment and decision-making skills, with the ability to interpret and implement policies, procedures, and regulations appropriately.

  • Ability to exercise confidentiality and discretion.

  • Ability to work independently.

  • Experience and familiarity with web development and social media are preferred but not required for this position.
